Talent & Culture Administrative Coordinator (M/F/X)

More than just an administrative role, the Talent & Culture Coordinator is a human-centered mission. You’ll be at the crossroads of internal relations, employee experience, and hotel life — a vital link between our teams and daily operations.


As an ambassador of our values, you will promote our culture through effective communication, engaging internal events, and attentive administrative support. Whether organizing celebrations, welcoming new talents, or managing staff residence check-ins and check-outs, you’ll play a key role in team well-being and engagement.

Qualificações


Summary Of Responsibilities


Reporting to the Director of Talent & Culture, responsibilities include but are not limited to:


Internal Communication

* Manage internal communication tools (staff memos, TV, notice boards)
* Draft and send memos regarding hotel activities, office closures, etc.
* Send correspondence to employees for key life events (weddings, births, bereavements)

Internal Events & Recognition

* Organize and implement monthly staff quizzes
* Coordinate celebrations (national holidays, hotel openings)
* Assist with major staff events (staff parties, summer BBQs)
* Create weekly birthday lists, send cards, notify the team
* Photograph and archive internal and staff events
* Organize biannual General Staff Assembly

Administration

* Coordinate employee requests and digitalize files
* Maintain document records and reminders
* Assist in onboarding new employees
* Handle employee advance requests
* Manage office procedures, mail, key distribution, and supplies
* Oversee intern planning, evaluations, and onboarding
* Coordinate recruitment visits and manage employee photo records
* Participate in hotel school recruitment days
* Retrieve files from archives, send registered mail, perform locker checks
* Ensure compliance with policies, ergonomic, health, and safety standards

Staff Residence

* Conduct check-in/check-out inspections for staff residence
