Role Overview
We are seeking a highly capable and proactive Executive Assistant, with a particular focus on sales enablement and external coordination. The successful candidate will support the CEO in managing a high-volume pipeline, ensuring follow-ups are timely, meetings are scheduled, and communication is polished and professional.
This part-time role is fully remote and ideal for a detail-oriented, tech-savvy assistant who thrives in a fast-paced, mission-driven environment.
Key Responsibilities
- Draft and manage client communications, follow-ups, and outreach in HubSpot CRM
- Schedule and coordinate internal and external meetings across multiple time zones
- Maintain the calendar, email triage, and task prioritisation
- Join client calls as needed, taking ownership of next steps and follow-ups
- Prepare agendas, notes, and supporting materials for meetings
- Provide general executive support and administrative coordination
- Prepare content and messaging for conference-related outreach; manage booking, travel, and follow-ups to maximise meetings and impact around key industry events
- Ensure data accuracy and organisation within CRM and digital tools
Required Experience & Skills
- 4+ years' experience supporting a senior executive in a fast-paced environment
- Excellent organisational, planning, and project management skills
- Exceptional written and verbal communication skills; able to draft high-quality content
- Proactive and resourceful with the ability to work independently
- Strong IT skills including proficiency in Microsoft Office including powerpoint and CRM ie Hubspot
- Professional presence and confidence in client-facing situations
- High attention to detail and commitment to accuracy, confidentiality and follow up

Preferred Qualifications
- Experience in writing professional content or related health or scientific field
- Fluent in English
- Bachelor's degree in Administration, Communications, or related field
