IT Administrative Specialist

1. Carry out weekly inspections of office spaces and report any issues to the workplace manager.
2. Manage office security, including visitor access, employee access, and maintain access card activation and reactivation checklists.
3. Oversee office services such as cleaning, potted plants, pest control, and other miscellaneous tasks.
4. Coordinate and monitor activities of contract suppliers, manage vendor relationships, and ensure regular updates to signed contract checklists.
5. Assist the workplace manager in managing coworking clients, including booking systems, liaising with finance for invoice issuance, communicating with clients, and other related tasks.
6. Support the workplace manager in managing procurement activities, such as issuing purchase orders, receiving goods and services, and paying invoices.
7. Provide front desk services at a reception counter, mail and courier services, stationery supplies for the office, and answering company general lines telephone calls.
8. Manage travel arrangements, including transportation, accommodation, and liaising with hotels for corporate discounts.
9. Maintain pantry services, replenishing beverages, liaising with vendors, and ensuring sufficient grocery supplies.
10. Ensure food storage organizers, utensils, plates, cups, etc. are provided to each pantry area.
11. Supply groceries such as dairy products, coffee beans, drinking water, biscuits, bread, fruits, cereal, etc.
12. Perform other administrative tasks assigned by the supervisor as needed.
