Operations Coordinator Job Description
We are seeking an experienced Operations Coordinator to join our team in Portugal. As an Operations Coordinator, you will be responsible for managing relationships with suppliers, resolving quality issues, and planning activities for tour groups.
Your Responsibilities:
* Book services with local suppliers prior to the season start (hotels, bus companies, restaurants, local guides, etc.)
* Handle administrative tasks such as preparing Group documents, reviewing travel expenses, and collecting end of trip documents
* Provide sales updates to suppliers on a monthly/weekly basis
* Book and confirm arrival and departure transfers
* Book and confirm special arrangements for individual passengers
* Resolve quality issues and handle relations with suppliers
* Offer 24/7 emergency support for all guides
* Provide after hours and weekend support phone for emergencies on rotation
The Ideal Candidate:
Our ideal candidate has at least 2 years' experience in Travel & Tourism Business, preferably as an Incoming Tour Operator. They possess excellent communication skills, both written and spoken, in English and Portuguese, with Spanish being a plus. Proficiency in Microsoft Office package, particularly Excel, is fundamental. Experience with Cloud storage and OneDrive is preferred, as well as familiarity with Amadeus platform.

Travel Requirements:
You will need to be available to travel 15% of the time and work longer hours as required by the job role.
