Job Description Reporting to the People & Culture Director, you will oversee internal communication, event coordination, and administrative support across the team.ResponsibilitiesManage internal communication tools (staff memos, "TV, and staff notice boards)Draft and send memos regarding hotel activities, office closures, etc.Send correspondence to employees for key life events (weddings, births, bereavements)Organize and implement the monthly Connection & Culture calendarPrepare and coordinate celebrations (national holidays, new hotel openings, etc.)Assist with and participate in major staff events (staff party, summer BBQ)Create weekly birthday lists, send out cards, and notify the People & Culture teamTake and archive photos at all internal events and staff-focused client eventsOrganize the General Staff AssemblyCoordinate and distribute employee administrative requestsEnsure digitalization of employee filesMaintain and follow up on missing document records and remindersAssist in welcoming new employeesHandle employee advance requestsEnsure proper office closure proceduresHandle internal and outgoing mailManage key distribution (Residence, lookers)Maintain office supplies for the P&C departmentOversee observation interns (planning, photos, evaluations, onboarding, and departures)Monitor intern development, conduct 1- and 3‐month follow‐ups, manage school evaluations and LinkedIn departure postsPrepare internal visit documentation with the P&C Director and ensure meeting room setupPrepare materials for school recruitment visitsTake professional photos of employees and manage photo trackingParticipate in hotel school recruitment daysRetrieve employee files from archivesSend registered mailPerform weekly locker room checksComply with departmental policies and proceduresAdhere to ergonomic, health, and safety standardsPerform any other duties as assignedQualificationsFluency in written and spoken Portuguese and EnglishProficient in Microsoft Office (Word, Excel, Outlook)Proven ability to manage multiple tasks in a busy environmentCommitment to delivering excellent internal customer serviceStrong organizational skills and attention to detailAbility to demonstrate tact, diplomacy, discretion, and compassion in a confidential contextExcellent communication and interpersonal skillsHighly responsible and reliableStrong team spiritEmployee Benefits Join our team and enjoy a range of exclusive colleague benefits, including complimentary upgrades, extended stays, discounted stays at Accor, Fairmont and Raffles properties, special discounts on dining and wellness services, and additional luxuries to enhance your experience.
