Manage daily office operations, ensuring the efficient execution of all administrative and facilities‐related activities. Support general office management tasks, demonstrating flexibility to adapt to the evolving needs of the organization. Executive Support and Scheduling DutiesProvide dedicated, high‐level support to the executive team, with a primary focus on supporting the Chairman and the local team. Proactively anticipate executive needs and facilitate efficient workflows on a day‐to‐day basis. Manage complex calendars, coordinate meetings, and prioritize commitments to optimize executives' time and availability. Arrange and manage comprehensive travel logistics, ensuring all bookings and itineraries are handled accurately and efficiently. Accounting DutiesPlay a key role in the financial administration of the Lisbon office. Support essential accounting and finance‐related tasks, ensuring accuracy and compliance. Act as the primary point of contact and liaison with external accounting and financial service providers. Ensure all financial documentation is accurately processed, maintained, and effectively communicated between internal stakeholders and external partners. Government | Legal Liaison DutiesManage regulatory and legal‐related matters for the Lisbon office, ensuring full compliance with local requirements. Initiate and maintain regular contact with relevant legal authorities and government entities in Portugal. Support and coordinate administrative and legal processes required by local regulations. Act as a key point of contact to facilitate smooth communication between the office and external regulatory bodies. Perfil idealThe ideal candidate will have: BA Degree in relevant areas; Fluency in Portuguese and English is mandatory; At least 2 years of experience in a similar role; Mastery of the Microsoft Office suite (Word, PowerPoint, Outlook) and other relevant business software. Excellent proficiency in Microsoft Excel is required for managing data, schedules, and supporting accounting tasks. Exceptional ability to manage multiple priorities, coordinate complex schedules, and oversee office operations meticulously. Strong interpersonal and communication skills, necessary for liaising with executives, vendors, external accounting providers, and legal authorities.
