People & Culture Coordinator (F/M/X) - Maternity Leave Full-time Job-Category: Talent & Culture Job Type: Temporary Job Schedule: Full-Time Victoria Golf Resort & Spa will be managed by Accor under white label while it undergoes a comprehensive property improvement plan. Upon completion, the resort will be fully rebranded as a Fairmont property, enhancing its exceptional golf facilities and natural surroundings within the Fairmont Hotels & Resorts portfolio. Responsibilities Manage internal communication tools (staff memos, TV, and staff notice boards). Draft and send memos regarding hotel activities, office closures, and other key events. Send correspondence to employees for key life events such as weddings, births, and bereavements. Organize and implement the monthly Connection & Culture calendar. Prepare and coordinate celebrations, including national holidays and new hotel openings. Assist with and participate in major staff events such as staff parties and summer BBQs. Create weekly birthday lists, send out cards, and notify the People & Culture team. Take and archive photos at all internal events and staff‐focused client events. Organize the General Staff Assembly. Coordinate and distribute employee administrative requests. Ensure digitalization of employee files and maintain records of missing documents. Assist in welcoming new employees and handle employee advance requests. Ensure proper office closure procedures and manage key distribution (Residence, lookers). Maintain office supplies for the People & Culture department. Oversee observation interns (planning, photos, evaluations, onboarding, and departures). Monitor intern development through 1‐ and 3‐month follow‐ups, manage school evaluations, and create LinkedIn departure posts. Prepare internal visit documentation with the P&C Director and ensure meeting room setup. Prepare materials for school recruitment visits and take professional photos of employees. Retrieve employee files from archives, send registered mail, and perform weekly locker room checks. Comply with departmental policies, procedures, and ergonomic, health, and safety standards. Perform any other duties as assigned. Qualifications Fluency in written and spoken Portuguese and English. Proficient in Microsoft Office (Word, Excel, Outlook). Proven ability to manage multiple tasks in a busy environment. Commitment to delivering excellent internal customer service. Strong organizational skills and attention to detail. Ability to demonstrate tact, diplomacy, discretion, and compassion in a confidential context. Excellent communication and interpersonal skills. Highly responsible and reliable. Strong team spirit.
