Details – Hospitality, Sports, Leisure is the platform responsible for managing the Hospitality, Sports, and Leisure areas of Arrow Global in Portugal. It oversees the management of major hotel units located in Vilamoura, Carvoeiro, Lagos, Albufeira, Aroeira, and Madeira, as well as golf courses and equestrian centers.
The Commercial Assistant will report to and be responsible for providing organisational, operational, and administrative support to the Commercial & Marketing Director, supporting the commercial activities of the Golf & Sports portfolio. The role ensures the smooth execution of sales initiatives, partner coordination, marketing deliverables, and promotional activities across all relevant business units.
Key Responsibilities:
* Support the Commercial Director in coordinating partner requests, follow-ups, and daily client communication.
* Assist in preparing commercial materials such as presentations, rate sheets, reports, and internal updates.
* Maintain updated client information in the CRM and assist with reporting.
* Support the coordination and follow-up of marketing agreements linked to commercial partnerships across Golf & Sports.
* Gather information from golf courses, sports facilities, and hotels to support marketing materials, presentations, newsletters, and partner communications.
* Assist in coordinating marketing deliverables included in commercial agreements (logos, assets, visibility items).
* Help prepare materials for B2B communications and promotional campaigns.
* Support the organisation of fam trips, trade shows, sports events, tournaments, press visits, and promotional actions (logistics, timings, materials).
* Coordinate with operational teams to ensure seamless execution of planned activities.
* Assist with agendas, meeting notes, and follow-up actions.
* Help with basic contract organisation and documentation flows (filing, signatures, updates).
* Collect operational information from assets to support commercial and marketing activities.
Key Qualifications:
* Experience in sales support, administrative roles, or marketing coordination, preferably in hospitality, tourism, golf, or sports (not mandatory).
* Strong organisation and time-management skills.
* Excellent communication skills and a service-minded approach.
* Comfortable using CRM tools and Microsoft Office (Excel, PowerPoint, Outlook).
* Fluent in English; Portuguese is a plus.
* Proactive, reliable, and structured.
* Detail-oriented with strong follow-through.
* Positive attitude and strong sense of ownership.
* Able to handle multiple tasks efficiently.
