Savills Portugal is currently undergoing a strong growth and intends to reinforce its Porto team with the integration of an Office Manager, to ensure the smooth and efficient day-to-day operation of the office, the current store, and any additional physical sales points.

This role is essential for maintaining an organized, functional and welcoming environment for both internal teams and clients.

Key tasks/ activities:

Office & Store Management:

* Oversee all operational aspects of the office and store (supplies, equipment, maintenance, cleaning, etc.);
* Act as point of contact for suppliers and service providers;
* Ensure physical spaces reflect the company's image, with attention to cleanliness, organization, and presentation.

Support to sales points (future expansion):

* Coordinate the setup and ongoing management of any new points of sale;
* Visit these locations periodically to ensure operational standards are met.

Internal Operations and logistics:

* Manage inventory of office and promotional materials;
* Coordinate small internal projects (e.g. minor refurbishments and repairs);
* Handle company-wide deliveries and shipments, including document flow between locations.
* Manage the Porto team's car fleet (oversee reservations, managing periodic checks, washes, etc.)

Administrative & Executive Support:

* Provide administrative assistance to management (welcoming guests, document organization);
* Support in event organization (internal/ external events, team gatherings – in coordination with the Marketing and HR teams);
* Contribute to creating a pleasant and efficient workplace culture.

Health & Safety/ Compliance Oversight:

* Ensure workplace safety standards are met (in coordination with HR or external providers);
* Help enforce compliance procedures within the physical workspace.

Requirements, Skills and Experience Desired:

* Minimum 2-3 years' experience in office management or operations roles (mandatory);
* Proficiency in productivity tools (Excel, Word, Outlook) and general tech-savviness;
* Ability to manage multiple tasks and processes simultaneously;
* Proficiency in Portuguese and English;
* Ability to plan and organize;
* Ability to solve problems autonomously and continually review procedures;
* Rigor and excellence in task execution;
* High sense of responsibility;
* Team player and ease of communication;
* Proactivity, assertiveness, and resilience.
* Experience in office management or operations roles (mandatory);
* Strong organizational and multitasking skills;
* Valid driver's license (preferred, for multi-location support).
