Executive personal operations manager

We are seeking a discreet, proactive, and digitally fluent Executive Personal Operations Manager to manage the daily operational and personal affairs of a high-level entrepreneur. This is a trusted, multi-dimensional role that combines high-level personal assistance with operational coordination across business, household, travel, and digital domains.

The ideal candidate is organised, reliable, tech-savvy, and experienced in managing complex schedules, supporting executive workflows, coordinating vendors and logistics, and maintaining discretion at all times.

Key Responsibilities

Executive & Diary Management

* Manage all calendars, appointments, meetings, and reminders (professional and personal)
* Coordinate time zones and international availability
* Liaise with clients, collaborators, and teams for scheduling and logistics

Household & Property Oversight

* Supervise household operations (Portugal/Ireland)
* Coordinate with maintenance teams, cleaners, service providers, and deliveries
* Maintain task and supplier schedules (e.g. car servicing, utilities, lawn care)

Social Media & Digital Presence

* Schedule and publish content across Instagram, LinkedIn, and X (Twitter)
* Manage social media and website updates for both the personal brand and affiliated companies (e.g. TerraZar, Minestarters)
* Coordinate with designers, copywriters, or external marketing support
* Organise and archive media, post insights, and analytics

Travel & Lifestyle Logistics

* Plan personal and family travel (flights, accommodation, visas)
* Organise retreats, rentals, and on-the-ground coordination
* Prepare travel folders (digital and print) for seamless execution

General Operational Support

* Maintain digital files, Trello boards, cloud storage, shared docs
* Run errands or delegate tasks to support staff/contractors
* Track purchases, subscriptions, reimbursements, and invoices

Key Attributes

* Minimum 5 years' experience in operations, executive assistance, or coordination roles
* Excellent command of English (spoken and written)
* Highly organised, flexible, and solution-focused
* Strong digital fluency across Apple (Mac, iPhone), Microsoft (Office, Outlook), and Google Workspace (Drive, Calendar, Docs)
* Calm, professional presence with total discretion
* Based in Portugal (preferred), with ability to work in person in Fuseta 3–4 days per week
