Executive Assistant
position at a leading multinational company in its sector, based in
Oeiras
.
Responsibilities:
Manage and organize the executive's calendar, appointments, and meetings, ensuring optimal time management and prioritization.
Prepare, edit, and proofread correspondence, reports, presentations, and other documents.
Coordinate travel arrangements, including flights, accommodation, and itineraries.
Serve as a primary point of contact between the executive, internal teams, and external stakeholders.
Handle confidential information with discretion and maintain high levels of professionalism.
Assist in planning and organizing internal and external events, meetings, and conferences.
Track and follow up on action items, deadlines, and projects on behalf of the executive.
Anticipate needs and proactively provide solutions to administrative or operational challenges.
Support personal tasks when required, ensuring seamless integration with professional responsibilities.
Profile:
Minimum of 5 years of proven experience as an Executive Assistant, Personal Assistant, or in a similar role supporting senior executives.
Experience in project coordination or event planning.
Proficiency with office software (e.g., MS Office, Google Workspace) and familiarity with virtual meeting tools.
English fluency required, and French proficiency is a valuable advantage.
Excellent written and verbal communication skills.
High levels of discretion, integrity, and professionalism, with the ability to work independently, anticipate needs, and manage competing priorities.
Availability for occasional travel and extended hours depending on executive needs.
