Executive Assistant
to support our leadership team and help bring structure, clarity, and momentum to our daily operations.
What You Will Do
As our Executive Assistant, you will be the right hand to the Founder and support the wider leadership team. You will ensure that priorities move forward, communication flows smoothly, and the company's operations stay organized.
Your main goal is to give the founders more space to focus
by proactively identifying, owning, and resolving tasks — often before they are even aware of them — so things move forward seamlessly without constant check-ins. You are the spider in our web
Your responsibilities will include:
Executive Support
* Manage calendars, schedule meetings, and coordinate travel.
* Prepare meeting agendas, coordinate meetings, take structured notes, document collection and distribution, and follow up on action items.
* Support internal communications and help maintain alignment across teams.
Operational & Administrative Support
* Organize digital files, documents, and archives.
* Maintain updated records in the CRM and other systems.
* Assist with onboarding tasks for new team members.
* Planning en execution of company events, preparing annual strategy meetings
* Help with light finance/admin tasks (e.g., expense tracking, invoices, vendor coordination).
Project & Process Support
* Assist in tracking ongoing projects and deadlines.
* Help ensure internal processes and documentation are kept up to date.
* Support the Process Manager and Founder in operational improvement initiatives.

Requirements
* Professional fluency in
English
and Portuguese
- 5+ years of experience in an administrative, coordinator, or executive support role.
