Purpose of Role
The Event Coordinator is responsible for planning, organizing, and executing events that drive engagement and brand awareness. This role involves managing logistics for in-person and virtual events, coordinating stakeholders, overseeing budgets, and ensuring seamless event execution. The Event Coordinator will work closely with marketing, sales, and external partners to create memorable experiences aligned with business objectives.
Additionally, the Event Coordinator will work alongside the global marketing team to drive industry-leading event performance. This role requires close collaboration with various departments, including Sales, Product Management, Customer Care, and Finance, to ensure a cohesive and effective event strategy that supports broader organizational goals.
Main Responsibilities:
* Event Planning & Execution: Support the delivery of events from concept through completion, managing logistics for face-to-face and online events.
* Timeline Management: Develop and maintain event timelines, ensuring all deadlines and goals are met.
* Vendor & Supplier Coordination: Oversee contracts, manage budgets, and ensure cost efficiency without compromising quality.
* Logistics Coordination: Handle venue selection, catering, transportation, audiovisual equipment, and accommodations.
* Stakeholder Communication: Serve as the main point of contact for all event stakeholders, ensuring clear communication and expectation management.
* Technology & Software Management: Configure and manage event platforms such as Cvent, Eventbrite, or Zoom to facilitate registrations and attendee engagement.
* Marketing & Promotion: Collaborate with marketing to develop promotional strategies, including social media and email campaigns, to maximize event attendance.
* On-Site & Virtual Event Management: Lead the on-site setup, coordination, and execution of events, ensuring all activities are carried out as planned.
* Issue Resolution: Troubleshoot on-site or virtual event issues and provide immediate solutions to ensure a seamless experience.
* Post-Event Evaluation: Conduct post-event evaluations, gather feedback from attendees, and provide reports on key performance metrics.
* Languages: Excellent written and verbal communication skills in English are required; fluency in additional languages such as German, French, or Spanish is a strong advantage.
