Job Description
Role
We are currently seeking to recruit a Document Controller to join our Digital team. This varied and challenging role will involve working with internal and Client document control teams. Initiative and problem-solving skills are necessary, as are strong interpersonal and communication skills, experience using control procedures, and using Electronic Document Management Systems (EDMS) or working with them at an administrator level.
Key Responsibilities
* Implementation and Management of EDMS – To provide support for the implementation and roll-out of a document management system. Act as the main point of contact for all queries and requests relating to the system. Undertake day to day user account and project site management.
* Document Quality Control - Compliance monitoring of incoming and outgoing documents into the system, making sure that documents are in the correct format and with the correct metadata. Provide guidance of file naming protocols and assist users to move or rename any incorrectly uploaded files.
* Provide EDMS training – Organise and undertake regular training sessions on the purpose and use of the system for new users and refresher training for existing users. Create and maintain training logs. Prepare and update training packs, system user guides and quick reference sheets.
* Project Communication – Management of project related documents, correspondence and RFI's via the EDMS. Scope and design required workflows to enable project processes.
* Information Packages - Support the assembly of information packages and check package completeness during design review and approval process to the relevant person and report on adherence to timescales form a defined standard.
* Respond to ad-hoc requests relating to document management – Provide ad-hoc advice and guidance on use of the EDMS system and associated user guides and policy documents. Provide ad-hoc reports and information on system usage and compliance.
Qualifications
Essential Skills & Experience
* Experienced Document Controller with 3+ year's relevant experience.
* Expert user level experience using OpenText is preferred or at least one of the following: Aconex, ViewPoint/4P, Asite, Projectwise or Autodesk Construction Cloud/BIM360
* Skilled in presenting to groups and delivering training in a variety of mediums.
* Ability to stay on focus and carry out tasks in a timely and accurate manner.
* Migrating data between systems.
* Uploading and cataloguing documents.
* Developing excellent working relationships with the client and contractors/consultants involved in the provision of services.
Desirable Skills & Experience
* Experience in engaging with stakeholders to define requirements for workflows and processes and ability to implement these within the chosen EDMS.
* Administrator level experience using at least one of the following: Aconex, View Point for projects, Asite, OpenText ECM, Autodesk Construction Cloud, Bentley Project wise.
* Understanding of Building Information Modelling (BIM) in the context of Information Management and Document Control.
