Join Our Global Team: Logistics & Order Coordinator (Consultant) – Based in Portugal
Are you highly organized, service-minded, and great at keeping track of moving parts? We’re looking for a Logistics & Order Coordinator to join our team as a consultant, based in Portugal, and ensure smooth communication and coordination between customers, suppliers, and internal teams throughout the delivery process.
In this role, you will work closely with our operations in Brazil and Spain, supporting both countries with logistics coordination, order tracking, documentation, and customer communication.
What You’ll Be Doing
You’ll have a central function in monitoring orders, coordinating shipments, and ensuring all relevant documentation — including invoices and shipping papers — is handled correctly and on time. You’ll act as the bridge between our customers, suppliers, logistics partners, and internal departments to make sure deliveries are well-planned, tracked, and completed as expected. You’ll also support the Spanish team with administrative tasks, including preparing customer quotations.
Your Key Responsibilities
* Order Monitoring & Follow-up
Track and follow up on customer orders and supplier deliveries to ensure everything stays on schedule. Proactively identify and resolve any delays or issues.
Act as the key point of contact for logistics-related communication — sharing updates with customers, confirming details with suppliers, and aligning with internal stakeholders such as sales, purchasing, and finance.
* Shipping Planning & Documentation
Coordinate transport bookings, shipping instructions, and delivery terms. Prepare and manage all documentation such as commercial invoices, packing lists, and customs paperwork.
* Invoicing & Internal Records
Support the invoicing process by verifying transport costs and delivery status. Maintain accurate and organized internal records.
* Support to Spain – Quotations
Assist the Spanish team by preparing and managing customer quotations and related sales documents.
* Coordination with Brazil
Collaborate closely with the Brazilian team to follow up on shipments, ensure documentation is correct, and support daily logistics processes.
Contribute to improving logistics routines and workflows to increase accuracy and efficiency.
What We’re Looking For
* Experience in logistics coordination, order administration, or supply chain support
* Strong communication and coordination skills
* Good understanding of delivery terms (Incoterms), customs basics, and transport operations
* A proactive and structured approach with attention to detail
* Ability to multitask and stay organized under pressure
* Fluent in English and Portuguese (spoken and written); Spanish is a strong advantage

This is a consultant position based in Portugal, supporting our operations in Brazil and Spain.
