About the Role
We are seeking a professional, well-organized, and detail-oriented Receptionist / Inventory Controller to join our team in Portugal. This dual role is responsible for creating a welcoming and professional first impression for all visitors to our factory, while also ensuring strict control and accuracy of inventory management. The ideal candidate is fluent in Portuguese and English (additional languages are highly desirable), thrives in a structured environment, and demonstrates strong interpersonal and organizational skills.
Responsibilities
The Job Role is focused on the following:
Reception
* Welcome and assist all delegates, customers, suppliers, business partners, and employees arriving at the factory
* Conduct safety inductions for all visitors, ensuring compliance with company safety procedures
* Always maintain a professional and organized reception area
* Ensure that all guests present themselves, sign-in and are accompanied while inside the facility
* Manage the company presentation, ensuring it is always displayed on reception television screens during visits
* Answer and direct phone calls in a polite and professional manner
* Manage the usage of the respective Boardrooms
* Receive all deliveries to the factory, log them accurately, and coordinate outgoing deliveries
* Record usage of Company vehicles by authorized drivers
Inventory Control
* Manage and control access to the stores by retaining keys
* Ensure all shelves are clearly labeled and stock is packed correctly
* Conduct monthly stock counts and prepare accurate reports
* Ensure stock received correlates with amounts contained on invoices and quotations
* Prevent unauthorized stock removal by ensuring all items are accompanied and signed out
* Record all stock movements promptly and accurately in the Company ERP system
Facilities & Supplies
* Work with the facilities team to ensure groceries, cleaning supplies, and refreshments are always stocked
* Monitor and maintain supplies in fridges and common areas
Competencies
Key requirements should include:
* Fluent in Portuguese and English (spoken and written). Additional languages are an advantage
* Strong interpersonal and communication skills with a professional demeanour
* Highly organized with attention to detail and accuracy
* Computer literate, with excellent knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint)
* Experience with ERP systems or inventory management software is highly desirable
* Ability to multitask and prioritize in a dynamic environment
Experience
This role requires proven experience in reception, office administration, or inventory management (1–3 years preferred)
