The E&V team delivers the Bentley Partner Program (supporting a diverse and vibrant ecosystem of digital solutions required to support our users' needs), makes investments, and facilitates acquisitions through the Ventures team, all as supported by a robust Shared Services organization.
As an Executive Assistant, you will provide operational support to the E&V leadership team. You will proactively manage senior executives' and directors' agendas, scheduling meetings across global time zones with diplomacy and discretion. Your primary goal will be to help maximize E&V leadership's time and ensure they are prepared for upcoming meetings, presentations, and projects.
We Will Rely on You For:
* Managing senior leadership agendas, considering organizational and cross-group schedules and commitments as and when required.
* Finding efficient ways to help maximize E&V leadership's time and ensuring they are prepared for upcoming meetings, presentations, and projects.
* Coordinating advanced domestic and complex international travel, including flights, hotel reservations, rental cars, etc., with multiple connections and countries.
* Producing high-quality emails and messages to individuals at all levels of the organization.
* Supporting and facilitating meetings, coordinating speakers/presenters and attendees, and coordinating presentations for internal and external audiences.
* Taking minutes of meetings, identifying key action items, and following up with relevant parties to ensure execution to the deadline.
* Coordinating procurement activities, managing departmental purchase requests, and following up on notifications and approvals on behalf of executives.
* Administrative and project duties, such as ensuring the correctness of organizational information in internal systems.
What You Bring to The Team:
* 2-5 years of experience providing operational support for senior leadership, preferably with a background in M&A activities.
* A proven track record of maintaining confidentiality, showing discretion, and protecting sensitive information.
* Experience performing administrative work that requires analysis, initiative, and discretion.
* Excellent communication and interpersonal skills, with the ability to build and maintain relationships internally and externally at all levels within the organization.
* A strong desire and commitment to achieve operational excellence and adaptability in response to changing priorities and needs.
* Solid Time Management and Organization skills, with the ability to prioritize and handle multiple assignments simultaneously.
* Advanced Microsoft Office skills, including Outlook, Word, Excel, PowerPoint, SharePoint, and Visio.
* Proficiency with travel booking and travel expense systems.
* Board pack production and distribution.
* Project Management skills and research capabilities.
* Able to work seamlessly with others in a team environment, effectively under pressure, and manage conflicting priorities.
* Accurate minute-taking and production of minutes.
* High attention to detail.
* Strong multi-tasker with an appreciation for the challenges of supporting a growing team with diverse personalities in a remote working environment.
