About the Role:
* Scheduling and Calendar Management: The Office Coordinator will be responsible for creating, updating, and maintaining calendars for senior managers across different time zones.
* Prioritization & Decision Making: They will apply priority rules and sound judgment to schedule meetings, propose alternative times, and push back on lower-priority requests when necessary.
* Meeting Logistics: They will coordinate complete meeting logistics, including room bookings, virtual links, and visitor access.
* Travel Arrangements: They will research, arrange, and book travel and handle expense submissions when requested.
* Conflict Resolution: They will monitor and resolve calendar conflicts, overlaps, or last-minute changes proactively, escalating only when business impact is unclear.
Requirements and Qualifications:
1. Experience: A minimum of 5+ years of experience in an administrative, scheduling, or coordinator role supporting multiple senior leaders/executives, ideally across regions.
2. Language Proficiency: C1 level English (spoken and written) with business-ready tone and formatting.
3. Technical Skills: Strong proficiency with Outlook/Teams/Concur and the ability to quickly learn client systems.
4. Behavioral Competencies: Excellent attention to detail, follow-through, and proven success working with competing, time-sensitive requests.
