Job Responsibilities:

As an Administrative Assistant at Lancelot Productions, you will play a vital role in ensuring the smooth operation of our office and supporting our event production team. Your responsibilities will include:

1. Managing day-to-day company operations, including handling administrative tasks that could be from different areas such as: accounting, HR, logistics, etc.
2. Assist with venue communication, liaising with venues to negotiate contracts, secure bookings, and coordinate event logistics.
3. Collaborating with the event production team to gather venue requirements, ensuring all event needs are met and exceeding client expectations.
4. Assisting with office budgets and expenses, tracking expenditures, and identifying cost-saving opportunities.
5. Assisting with event planning and coordination, including vendor management, scheduling, and logistics.
6. Supporting HR functions such as recruiting, onboarding, and employee relations.
7. Maintaining office systems and procedures to ensure efficiency and productivity.
8. Providing administrative support to senior management as needed.

Qualifications:

We are seeking a candidate with the following qualifications:

1. Proven experience as an Administrative Assistant or similar role, preferably in the event production industry.
2. Strong communication and negotiation skills, with the ability to effectively communicate with colleagues, venues and vendors.
3. Excellent organizational and multitasking abilities, with a keen eye for detail.
4. Proficiency in office software, including Microsoft Office Suite and Google Workspace.
5. Experience managing budgets and expenses.
6. Ability to work independently and as part of a team in a fast-paced environment.
7. Flexibility and adaptability to handle changing priorities and deadlines.
8. A proactive and resourceful attitude, with a passion for delivering exceptional service.
9. Fluency in both, written and spoken English.
10. Knowledge of the event industry and venue operations is a plus.
