DescriptionReporting to the Project Manager in Portugal your main responsibilities will be: Point of contact for all employees for administrative questions (first-level support) and contact person for external entities (authorities, service providers, landlord). Oversee office and facility management, including maintenance, cleaning, cafeteria services. Ensuring a well-maintained and organised office space, office capacity, access management, supplies and equipment. Develop and manage administrative processes for a newly established office. Plan and coordinate internal meetings and appointments. Organise and manage company events, such as team activities and training sessions. Maintain internal documentation and knowledge management structures, including filing systems, SharePoint, and Confluence pages. ProfileThe ideal candidate will have: Minimum of 3 years of experience as Office Manager, Administrative Manager, Executive Assistant, or similar role Expertise in office management and coordination Strong organisational and time management skills Fluent in English and Portuguese. Any further language skills are a plus Proficiency in Microsoft 365 Experience working in a startup, new office setup, or fast growth environment Knowledge of local administrative requirements (contracts, compliance, office regulations) We are looking for someone who can proactively wear many different hats at the same time, always managing priorities and showing a positive attitude.
