Tilray's platform supports over 40 brands in over 20 countries, including cannabis offerings, hemp-based foods, and craft beverages.Looking to develop your career at the forefront of a rapidly expanding industry?Job SummaryReporting to the Plant Manager, the Office Administrator is responsible for providing support, enhancing efficiency by delivering management assistance, and organizing and executing tasks assigned by the managers and executives.ResponsibilitiesOversee general office operations and ensure smooth daily functioningManage calendars, schedules, and coordinate appointments, meetings, and conferencesHandle incoming and outgoing mail and liaise with postal servicesOrganize company visits and tours, providing full support to visitors (e.g., agendas, coffee breaks, hotel bookings, transfers, vehicles, equipment, meals)Plan and coordinate in-house and off-site activities (e.g., celebrations, social events, team meetings)Arrange domestic and international travel, including flights, accommodation, and car rentalsPurchase and maintain office supplies and equipment, ensuring adequate stock levelsPrepare presentations and management-level reports (e.g., meeting notes, summaries)Manage social areas, including ordering and replenishing consumables (Oversee vending machines, including technical support and product selection)Provide administrative support to the Facilities, Manufacturing and Cultivation departments as required (e.g., filing, document organization, record maintenance)Quality DepartmentMaintain and update databases related to training records and SOP controlSupport audits or inspections by preparing documentation when requiredProvide general administrative and operational support, including document digitalization, filing, and maintenance of organized recordsHuman Resources and Health, Safety and Environment (HSE)Support onboarding activities, including workplace preparation and coordination with relevant departmentsSupport internal communication initiatives, including content creation, managing projects such as corporate videos, and helping prepare materials for presentations and meetingsProactively identify opportunities to improve office and employee experienceSupport the registration of internal training sessionsSupport the delivery, collection and control of PPE (Personal Protective Equipment)Qualifications And Education RequirementsOffice Administration or Business Administration diploma requiredMinimum of 3 years working as an Executive Assistant or similar roleAbility to work under pressure with tight deadlines and confidential information in a fast-paced environmentDetail oriented, exercises sound judgment and possesses exceptional written and verbal communication skillsFluency in English (both written and spoken) is requiredProficiency with Microsoft Office (Outlook, Word, Excel and Power Point) required
