Event Planning Assistant
The Event Planning Assistant plays a pivotal role in the operations team, contributing to the successful planning and execution of high-end events and projects. This role combines administrative expertise with a proactive approach to logistics and communication, ensuring every aspect of an event runs seamlessly.

Key Responsibilities:
Logistics Coordination:
• Take ownership of logistical arrangements for events, including scheduling, and ensure transportation and accommodation needs for the team are flawlessly executed;
• Actively monitor and troubleshoot logistics issues, ensuring last-minute adjustments are handled professionally to maintain event quality;
Attention to Detail:
• Precisely document all client requirements, ensuring each detail is accurately communicated to internal and external stakeholders to facilitate impeccable project execution;
• Maintain quality control by reviewing project plans and identifying potential risks or gaps in logistics;
Team Communication:
• Foster collaboration by maintaining open channels of communication among all departments involved in event execution;
Document and Schedule Management:
• Develop and maintain comprehensive schedules, event timelines, and project trackers, ensuring all critical milestones are met within specified timeframes;
• Organize and archive event documentation to support future reference, compliance, and reporting requirements;
Client Experience Support:
• Collaborate with the sales team to ensure client satisfaction by providing prompt responses, anticipating needs, and addressing concerns efficiently;
The ideal candidate will possess strong organizational skills, attention to detail, and excellent communication abilities. A college degree in event management, hospitality, business administration, or a related field is preferred. Prior experience in logistics coordination, event planning, or a similar role, particularly within the luxury market, is highly desirable. Fluency in English is required, and proficiency in French or other languages is considered an asset.
