We are looking for a highly efficient and detail-oriented Scheduling Coordinator to provide daily support to a group of senior managers across multiple regions (US, EMEA, and APAC). If you are tech-savvy, proactive, and thrive in fast-paced international environments, this is the role for you.
The Role
As a Scheduling Coordinator, you will ensure our senior leadership teams operate at peak efficiency. This role requires more than just booking meetings, it demands sharp judgment, precise time-zone management, and the ability to navigate a high-volume workflow with ease.
Key Responsibilities
* Calendar Management: Maintain and update senior managers' calendars according to client standards, ensuring all appointments are set up accurately.
* Global Coordination: Schedule and coordinate meetings across US, EMEA, and APAC time zones, managing time conversions and regional holidays with 100% accuracy.
* Priority Handling: Proactively monitor calendars for conflicts, propose alternative times, and push back on lower-priority requests when necessary.
* Logistics & Travel: Manage meeting logistics (Teams links, room bookings) and coordinate travel arrangements and expense submissions (Concur) as required.
* Professional Communication: Act as a reliable point of contact for managers and stakeholders, handling all interactions with discretion and professionalism.
What We Are Looking For
* Experience: 2+ years of experience in administrative, scheduling, or coordinator roles, ideally within a multinational or fast-paced environment.
* Communication: Excellent English skills (C1 level) with a business-ready tone in both writing and speaking.
* Technical Skills: Strong proficiency in Outlook and Teams. Experience with Concur or similar expense tools is a significant plus.
* Detail-Oriented: A natural ability to spot conflicts and a commitment to "getting it right the first time."
