We are seeking a detail-oriented and process-driven Business Analyst to support the implementation, optimization, and ongoing use of an artwork and packaging management solution.
This role is responsible for understanding business needs, analysing processes, documenting requirements, supporting system configuration, and ensuring the platform effectively enables artwork, packaging, and compliance workflows across the organization.
The Business Analyst will work closely with end users, internal stakeholders, and third-party vendors to ensure the platform operates smoothly and continues to deliver business value.
Key Responsibilities
Requirements Gathering & Process Analysis
* Document current-state processes and identify gaps or inefficiencies in artwork and packaging workflows.
* Translate business requirements into clear specifications and functional documentation for system configuration.
* Align business objectives with system capabilities by translating strategic priorities into clear requirements, future-state processes, and delivery roadmaps.
Workflow & System Configuration Support
* Assist in designing and refining workflows, including approval routes, asset structures, metadata, permissions, and templates.
* Support configuration changes, test system updates, and ensure alignment with documented requirements.
* Prepare user stories and acceptance criteria for enhancement requests.
Data, Quality & Compliance Management
* Ensure consistent use of metadata, naming conventions, taxonomy, and version control.
* Support the implementation of business rules related to compliance, regulatory text handling, and document control.
* Monitor data quality and proactively identify issues or improvement opportunities.
* Regularly review and clean up user accounts to ensure access is limited to authorized users.
User Support, Training & Documentation
* Act as a functional expert and first point of contact for day-to-day user support and troubleshooting.
* Create and maintain clear documentation, user guides, and standard operating procedures (SOPs).
* Deliver onboarding and refresher training sessions for new and existing users.
Testing & Release Support
* Develop and execute test plans for new features, bug fixes, and release cycles.
* Support market rollouts by coordinating testing, release readiness, and go-live activities across systems, teams, and vendors.
* Validate system behaviour, workflows, and integrations prior to deployment.
* Communicate release impacts, changes, and usage instructions to business teams.
Vendor Coordination & Issue Management
* Collaborate with third-party vendors to resolve incidents, manage enhancements, and platform-related queries.
* Ensure timely vendor responses and accurate documentation of issues and resolutions.
Reporting & Insight Generation
* Provide insights to improve process efficiency and system usability.
* Support continuous improvement initiatives driven by data and operational feedback.
Qualifications - Required
* 2-5 years of experience as a Business Analyst, Workflow Analyst, Systems Analyst, or similar role.
* Exposure to artwork/packaging management platforms or workflow/approval-based software.
* Strong analytical skills with the ability to translate business processes into system requirements.
* Excellent communication and documentation skills.
* Solid understanding of version control, approval workflows, and structured content management.
* Fluent in English, spoken and written.
Qualifications - Preferred
* Experience with artwork management tools such as Artflow, Esko WebCenter, Blue, SGK, or Freyr.
* Experience in FMCG, retail, manufacturing, pharma, or other regulated industries with packaging requirements.
* Experience with testing methodologies, UAT, and writing functional specifications.
* Familiarity with enterprise systems such as DAM, PIM, ERP, PLM, and API-based integrations.
