SunStone Maritime Group, an international maritime group with headquarters in Madeira, is seeking a proactive and motivated team player to join our Administration department as an Administrative Assistant. The ADMINISTRATIVE ASSISTANT will play a key role in supporting the efficient functioning of our office and executive operations. The successful candidate will work under the supervision of the Office Manager and will play a pivotal role in providing administrative support to the company executives and the SunStone Maritime Group team in their day-to-day operations.

RESPONSIBILITIES:
• Provide day-to-day administrative support to the department and management team, including managing schedules, digital and physical filing, handling correspondence, and coordinating meetings.
• Draft, edit, and manage business communications, minutes, reports, and presentations in English.
• Collaborate and assist the Office Manager with administrative tasks and in maintaining a well-organised and productive office environment.
• Assist with internal and external communication tasks.
• Maintain and update the company website and ensure content accuracy.
• Manage and schedule content for the company’s social media channels.
• Support the development and distribution of marketing materials.
• Help coordinate meetings, events, and logistics.
• May be asked to provide other general assistance as needed.
• Liaise with other departments to ensure smooth information flow.
• Prepare and organise documents, reports, and presentations as required.
• Maintain accurate and up-to-date records of company documents.

REQUIREMENTS:
• Preferably a bachelor’s degree, or a Secondary level diploma, complemented with a certification in a relevant field (e.g. secretarial studies, business administration).
• Fluency in English (spoken and written) is essential.
• Excellent English writing and proofreading skills.
• Prior experience in executive assistance, communications, or marketing roles.
• Proficient in Microsoft Office (Word, Excel, PowerPoint, Teams, Sharepoint) and basic website/social media management tools.
• Strong organisational and time management skills.
• Ability to work independently and as part of a team.
• High level of discretion and professionalism.
• Ability to thrive in a fast-paced, deadline-driven environment.
• A proactive attitude and ability to manage multiple tasks simultaneously.
• Strong interpersonal skills and a collaborative mindset.
• The ability to maintain and ensure respect for confidentiality is mandatory.
