Job Description
The Administrative Assistant for the Corporate Development team provides critical administrative and operational support to the Corporate Development leadership team. This role is responsible for managing complex calendars, coordinating travel, and supporting ad hoc projects that enable the team to operate efficiently and effectively.
Working in close partnership with the Chief Corporate Development Officer's Executive Assistant, this role helps ensure seamless coordination across leadership schedules, meetings, and priorities. The ideal candidate is highly organized, proactive, and comfortable operating in a fast-paced, confidential, and executive-facing environment.
Key Responsibilities
HOW YOU WILL CONTRIBUTE AND WHAT YOU WILL LEARN
Administrative & Calendar Support
* Manage and coordinate calendars for Corporate Development leaders, including scheduling internal and external meetings across time zones
* Prioritize meeting requests, resolve scheduling conflicts, and ensure agendas and pre-reads are aligned
* Coordinate closely with the CCDO's Executive Assistant to align leadership calendars and meeting objectives
Travel & Logistics
* Arrange domestic and international travel, including flights, accommodations, visas (as needed), and ground transportation
* Prepare detailed itineraries and provide real-time support during travel
* Manage expense submissions and tracking in accordance with company policies
Meeting & Event Coordination
* Support logistics for leadership meetings, offsites, and team events (room booking, catering, materials, and follow-ups)
* Ensure smooth execution of meetings by coordinating attendees, materials, and action items
Ad Hoc Projects & Operational Support
* Assist with ad hoc projects, special initiatives, and administrative tasks as requested by the Chief of Staff and Corporate Development leaders
* Support document preparation, basic research, and coordination efforts related to Corporate Development initiatives
* Help maintain organized records, trackers, and shared folders
Collaboration & Communication
* Serve as a reliable point of contact for internal and external stakeholders
* Partner closely with the Chief of Staff and Executive Assistants across the organization to ensure consistent support and communication
* Handle sensitive and confidential information with discretion and professionalism
Key Skills And Experience
Qualifications & Experience
* 3–6+ years of experience in an administrative, executive support, or coordinator role, preferably in a corporate or professional services environment
* Strong calendar management and scheduling skills for multiple leaders
* Experience coordinating travel and expenses
* Excellent organizational, time-management, and attention-to-detail skills
* Strong written and verbal communication skills
* Proficiency with Microsoft Office, Google Workspace, and enterprise calendaring/travel tools
