Role Overview
The Document Controller will play a critical role in managing, organizing, and maintaining technical and quality documentation systems.
The successful candidate will ensure accurate document control, compliance with standards, and accessibility of information across project teams.
In addition, the role will support the management and delivery of project data dossiers, ensuring accurate and timely submission to clients and stakeholders.
Key Responsibilities
Documentation Management
• Establish and maintain the commissioning documentation management system within CxPlanner, Autodesk Construction Cloud (ACC), or project commissioning platforms.
• Receive, register, and track commissioning documentation, including:
Testing procedures
Inspection reports
Validation checklists
Equipment start-up reports
Commissioning scripts
• Maintain commissioning registers, including:
Test logs
Issue logs
System verification records
Commissioning status trackers
• Control document revisions and ensure only approved testing procedures and checklists are used.
• Coordinate with Commissioning Managers and site teams to ensure documentation reflects the latest IFC drawings and specifications.
• Process vendor start-up reports, equipment test certificates, and subcontractor commissioning documentation.
• Track commissioning progress against testing schedules and project plans.
• Compile and organize system validation documentation and commissioning records for project close-out and client handover.
• Prepare commissioning status reports and testing progress updates.
• Ensure proper version control and archive superseded documents.
• Manage project data dossiers and their indices.
• Support general office and administrative activities.
System Administration
• Manage electronic document control systems and databases.
• Implement improvements to document control processes and workflows.
Compliance & Quality
• Ensure all documentation complies with relevant standards, regulations, and internal quality requirements.
• Support internal and external audits.
• Assist with client documentation reviews.
• Verify that received documentation complies with specifications and tracking requirements.
• Liaise with document originators when corrections are required.
Communication & Collaboration
• Act as the primary point of contact for document-related queries.
• Collaborate with Engineering, Quality, Manufacturing, and Commissioning teams to ensure seamless information flow.
• Support Quality Assurance activities.
• Coordinate effectively with third-party designers, suppliers, and subcontractors.
Training & Support
• Provide guidance and support to project teams regarding document control procedures.
• Assist with document preparation, submissions, and control processes.
Required Qualifications
Education
• Background in Engineering, Quality, or Technical Administration.
• Familiarity with ISO **** or equivalent standards.
• Experience in document control systems within engineering, manufacturing, construction, or similar technical environments.
• Fluent English (C1/C2) – written and verbal.
Functional Knowledge & Skills
• 2–5 years of experience supporting commissioning, testing, or technical documentation activities.
• Experience in construction, infrastructure, manufacturing, or data center projects.
• Understanding of commissioning documentation processes, including:
Test procedures
Checklists
Validation records
Handover documentation
• Experience using:
CxPlanner
Autodesk Construction Cloud (ACC)
Equivalent project management/document control platforms
• Strong organizational skills with the ability to manage large volumes of technical documentation.
• Proficiency in Microsoft Office and technical reporting tools.
• Strong communication skills and ability to coordinate with multidisciplinary teams and subcontractors.
