We are looking for a dedicated HR Specialist & Office Manager (f/m/d) to join the team (client) and lead HR and office management efforts in Lisbon, Portugal.
We are in the process of establishing a new branch in Lisbon and you will be part of our Pan-European HR Team as well as reporting to the local management in Portugal.The Role:Responsible for the operational HR services and the employee life cycle and ensuring a smooth personnel administration, preparing contracts, general correspondence, work permits, managing employee benefits, monthly payroll administration etc.Taking charge of the recruitment for all positions in Portugal, utilizing appropriate methods to find the best candidates.
Managing an efficient search and selection process, coordinating interviews and ensuring a good candidate experienceEnsuring compliance with labour law regulations and advising management on HR related issues.
Providing guidance to local employees on HR practices.Point of contact for all employees for administrative, and social security-related questions (first-level support) and contact person for external entities (authorities, offices, etc.
)Ensuring data quality in the personnel system (Workday), correct recording of all relevant changes (e.G., for payroll)Taking charge of office and facility management duties.
Act as the liaison between employees and cross-functional teams (IT, Facilities, HR Operations) to address onsite needsProviding effective administrative assistance to management and teamsEnsuring a well-maintained and organized office space, overseeing facilities, supplies, and equipmentCoordinating special projects and initiatives as assigned, ensuring timely completionThe Expertise:A bachelor's degree in human resources or a related fieldMinimum of 3 years of experience in HR, with a focus on recruitment and personnel administration, preferably in the financial services industryExpertise in office management and coordinationStrong organizational and time management skillsExcellent interpersonal skills and the ability to build strong relationships with internal and external stakeholders.
A proactive, positive attitude with a willingness to tackle challenges head-onStrong organizational and time management skillsLanguages: Fluent in English and Portuguese.
