We are looking for a Administrative Assistant – Purchasing & Office Support to join our team in Oeiras (Lagoas Park).
About the Role
We are looking for an Administrative & Purchasing Assistant to ensure the smooth execution of administrative tasks while providing operational support to purchasing activities and the finance department.
Key Responsibilities
• Provide general administrative and front-office support, including handling and redirecting phone calls;
• Coordinate and prepare meeting rooms;
• Manage incoming and outgoing correspondence (postal services and couriers);
• Organize travel logistics for employees, including accommodation, transportation and flights;
• Maintain and organize physical and digital filing systems;
• Manage office supplies and pantry consumables;
• Create and maintain supplier records and databases;
• Request quotations, compare offers and support supplier selection;
• Prepare and issue Purchase Orders to suppliers;
• Receive, verify and register supplier invoices in the accounting system.
Skills & Qualifications
• Minimum education level equivalent to secondary education (12th grade);
• Previous experience in a similar administrative and/or purchasing role;
• Strong command of English (written and spoken);
• Proficiency in Microsoft Word and Excel;
• Strong organizational and communication skills;
• Proactive, dynamic and detail-oriented profile;
• Flexible, reliable and responsible.
