We will continue to invest in our biggest asset: our amazing team.Role Description:The Environmental, Health and Safety (EHS) Administrative Assistant provides administrative and operational support to the EHS department to help ensure compliance with environmental, health, and safety regulations and company policies.This role maintains records of site activities regarding legal compliance and TSL complianceKey Responsibilities:EHS Program Implementation & ComplianceMaintain and organize Occupational Safety and Health (OSH) and Environmental documentation, including records, permits, authorizations, and legal compliance evidence.Ensure accurate submission and updating of data on the platforms of the Authority for Working Conditions (ACT), the Portuguese Environment Agency (APA), and other relevant regulatory bodies.Record and monitor workplace accidents, incidents, corrective actions, and follow-up measures.Ensure accurate data entry and management within OSH and Environmental systems and databases.Prepare meeting agendas, presentations, and internal communications related to safety, health, and environment.Produce weekly and monthly reports on safety, environmental, and social compliance indicators.Support the preparation of safety reports, incident records, and mandatory regulatory submissions.Coordinate Occupational Safety and Health training sessions and maintain up-to-date training records.Support internal and external audits, inspections, and regulatory compliance assessments.Assist in the implementation of environmental and occupational health and safety programs in accordance with applicable Portuguese legislation.Ensure the confidential handling of employee information and occupational health and safety data in compliance with the General Data Protection Regulation (GDPR).
Collaborate with internal departments and external entities as requiredMonitor and verify documental compliance of Health and safety plans in construction siteDocumentation & ReportingMaintain and update key site safety and environmental recordsSupport the preparation of accurate reports, including monthly safety statistics, health and safety performance trends, and KPI reporting.Assist in the preparation and maintenance of health and safety files, including documentation for new projects.Manage controlled documentation, including SOP revisions, Safety Alerts, and audit reports.Project Coordination & Administration- Provide administrative support to EHS Lead within the projectContinuous Improvement & Culture DevelopmentPromote a strong safety culture by actively engaging with site teams and reinforcing safe work practices.Participate in initiatives aimed at driving EHS performance improvements, including lessons learned sessions and continuous learning programs.Collaborate with the EHS Country Lead on ad hoc tasks in line with your skills and experienceQualifications & Experience:Education:Certification Level VI in Occupational Health and Safety, Environmental Science, Engineering, or a related field.Relevant training in environmentalISO ***** certification would be an advantageExperience:- 2 -5 years of relevant work experience or internships in construction, industrial safety, or environmental health and safety.
- Familiarity with document control and compliance tracking in an EHS context is beneficial but not essential.Skills & Competencies:Strong understanding of Occupational Health, Safety and Environment (EHS) regulations and applicable legislationKnowledge of EHS principles and support in the implementation of workplace safety and environmental protection measures.Knowledge of official reporting platforms and systems within the legal compliance framework for Occupational Health and Safety and applicable environmental legislation in PortugalExcellent verbal and written communication skills, with the ability to prepare clear, concise, and structured reports.Proficiency in Microsoft Office Suite (Excel, Word, and PowerPoint).
Strong organizational and time management skills, with the ability to manage multiple tasks in a dynamic environment.High attention to detail and accuracy in documentation and reporting.Ability to work independently as well as collaboratively within a team environment.Proactive mindset with a strong focus on continuous improvement in workplace safety and environmental sustainability.Valid driving licenseProficiency in English (spoken and written) is mandatory.Why Join Us?
