Operations Executive – TAO (Talent, Admin & Operations)

Envertiz Consultancy is recruiting a passionate and qualified Operations Executive to join a dedicated TAO (Talent, Admin, and Operations) team in Lisbon, Portugal.
This hybrid role requires an individual who thrives in a fast-paced, dynamic environment, is detail-oriented, self-driven, and capable of managing multiple priorities effectively.
Fluency in English and Portuguese is mandatory, and international experience is highly preferred.
Immediate Joiner - Candidates must be currently based in Portugal with the right to work locally.
Key Responsibilities
Manage diaries and calendars for senior management;
coordinate daily operations and business activities.
Organize and support meetings, travel, bookings, and events (both internal and external).
Act as the primary point of contact for external service providers such as lawyers, banks, auditors, and vendors.
Support senior leadership in projects, meetings, and decision-making processes.
Lead recruitment activities including job postings, candidate coordination, employment agreements, onboarding, training, and leave management.
Maintain employee records, manage HR databases, and assist with internal HR analysis.
Coordinate team meetings, company events, and employee engagement activities.
Oversee office operations, including document management, office logistics, and subscriptions.
Support visa, insurance, and employee mobility processes.
Collaborate with internal teams to implement new technologies and process improvements that drive operational efficiency.
Liaise with partners, stakeholders, and vendors on contracts, proposals, and ongoing partnerships.
Ensure a collaborative, productive, and well-organized office environment.
Required Skills & Experience
Bachelor's degree in Business Administration, Finance, or a related field.
Minimum 1 year of experience in operations, administration, or project management—preferably within an international organization.
Strong proficiency in Microsoft Office (Word, Excel, PowerPoint).
Analytical, organized, and deadline-driven, with exceptional attention to detail.
Excellent interpersonal and communication skills.
Ability to work collaboratively in a multicultural environment and manage multiple priorities efficiently.
Adaptable, calm under pressure, and flexible to shifting business needs.
