Key Administrative Role
Job Summary
This role is responsible for providing daily scheduling, meeting, travel and expense support to senior managers in a fast-paced environment. The successful candidate will have strong calendar discipline, excellent English communication skills and the ability to work with senior global stakeholders.
Main Responsibilities
* Create, update and maintain senior managers' calendars, ensuring correct time conversions and respect for site-specific working hours.
* Apply priority rules and sound judgment to schedule meetings, propose alternative times and push back on lower-priority requests when appropriate.
* Coordinate complete meeting logistics, including room bookings and virtual links.
* Research, arrange and book travel and complete expense submissions as requested.
* Monitor and resolve calendar conflicts, overlaps or last-minute changes proactively.
Requirements
* Minimum 5+ years experience in an administrative, scheduling or coordinator role supporting multiple senior leaders/executives, ideally across regions.
* C1 level English (spoken and written) with business-ready tone and formatting.
* Strong proficiency with Outlook/Teams/Concur and the ability to quickly learn client systems.
* Excellent attention to detail, follow-through and proven success working with competing, time-sensitive requests.
