. As part of this setup, we are strengthening our ESG and regulatory capabilities and are looking for an ESG Regulatory Coordinator to help build and professionalize this field.
What you can look forward to:
As an Office Manager (Maternity Leave Cover), you will provide comprehensive administrative and office management support to the GBS organization. You will act as a key point of contact for employees, managers and external partners, ensuring smooth office operations and immediate support across all administrative and facility-related topics.
This is a fixed-term role, ideal for someone who enjoys a hands-on environment, can integrate quickly into a growing organization and is comfortable taking full ownership of responsibilities from day one.
Key responsibilities
Manage the office space, including (temporary) office assignments
Maintain stock of office materials and supplies
Coordinate external service providers (facility management, security, maintenance, cleaning)
Provide general administrative support to employees and visitors
Set up and manage office equipment, including printers and IT equipment
Handle and resolve administrative issues and inquiries
Maintain and ensure compliance with office policies and procedures
Support the operational organization of GBS events in coordination with the HR team
Handle correspondence, schedule meetings and appointments
Ensure booking and travel support for GBS employees
Promote best practices and support a well-organized, people-centric office environment
Education and experience requirements
Bachelor's degree, technical or commercial business education, or equivalent experience
Ideally 1 year of experience in administrative or office management roles, preferably in GBS or shared service environments
Experience interacting with employees, managers, and external service providers
Skills and competencies
Professional working proficiency in English (minimum B2);
Strong organizational and prioritization skills
Ability to work independently and take ownership in a fast-paced environment
Hands-on, solution-oriented mindset with high attention to detail
Strong knowledge of MS Office (Excel, Outlook)
Excellent interpersonal, service-oriented and communication skills
Ability to adapt quickly and ensure continuity during a transition period
Contract & duration
Fixed-term contract as maternity leave cover
Minimum expected duration: 6 months, with possible extension depending on business needs
