We are looking for someone to join us in the capacity of Senior Property Manager. This is a pivotal role, and the ideal candidate must be confident, a solution-focused leader who can run our dynamic team and take charge of our property management division in our Cascais office. Your leadership will ensure building long-term relationships with our owners and ensuring a truly premium experience for our clients.
Pre-requisites
· Detail-oriented, highly organised, and experienced in managing properties at scale.
· Fluent in Portuguese and English (spoken and written); French is a plus.
· Strong digital fluency (Channel Management App, &/or Avantio, Excel, WhatsApp, Dropbox, Sales Force).
· Availability to work weekends, especially to support check-ins and check-outs.
· A proactive, positive, and solutions-oriented attitude.
Job Description and Key Responsibilities
1.Maintenance and Quality Standards
· Ensure the preservation and presentation of the managed properties, guaranteeing that they are permanently kept in proper aesthetic and functional condition.
· Coordinate the execution of periodic inspections, namely meter readings, ventilation, mail collection, pest control, and security rounds.
· Supervise preventive maintenance plans and seasonal services, in coordination with external service providers.
2. Inventory, Compliance, and Administrative Management
· Keep the property inventory up to date, ensuring timely replenishment or replacement of equipment, furniture, linens, consumables, and other necessary items.
· Ensure compliance with applicable legal and regulatory requirements, particularly regarding Short-Term Rentals, insurance, and certifications.
· Support the preparation and monitoring of operating budgets, reporting deviations or efficiency opportunities.
· Maintain relevant administrative records, such as key logs, maintenance reports, and incident records.
3. Service Providers and Technical Maintenance Management
· Select, coordinate, and supervise service providers and technicians (plumbing, HVAC, pool, gardening, among others).
· Approve third-party access to properties and verify the quality of services rendered.
· Act as the escalation point in urgent maintenance situations, ensuring resolution in compliance with company standards and with owners' approval, when applicable.
4. Team Leadership and Operational Development
· Coordinate and oversee the property management team, fostering motivation, training, and professional development.
· Define and implement internal work procedures (SOPs) for check-ins/check-outs, inspections, incident management, and maintenance.
· Promote effective collaboration with other company departments (Guest Relations, Housekeeping, Design/Construction, and Finance).
5. Strategic Reporting and Owner Communication
· Prepare periodic reports on the status and performance of properties, including maintenance, pending issues, and operational indicators.
· Provide regular information to owners, including budget updates, annual reviews, and recommendations for improvements or investments.
· Support the integration process of new properties into the portfolio, ensuring full operability from the outset.
