Role Overview
We are seeking a highly capable and proactive Executive Assistant, with a particular focus on sales enablement and external coordination. The successful candidate will support the CEO in managing a high-volume pipeline, ensuring follow-ups are timely, meetings are scheduled, and communication is polished and professional.
This part-time role is fully remote and ideal for a detail-oriented, tech-savvy assistant who thrives in a fast-paced, mission-driven environment.
Key Responsibilities
Draft and manage client communications, follow-ups, and outreach in HubSpot CRMSchedule and coordinate internal and external meetings across multiple time zonesMaintain the calendar, email triage, and task prioritisationJoin client calls as needed, taking ownership of next steps and follow-upsPrepare agendas, notes, and supporting materials for meetingsProvide general executive support and administrative coordinationPrepare content and messaging for conference-related outreach; manage booking, travel, and follow-ups to maximise meetings and impact around key industry eventsEnsure data accuracy and organisation within CRM and digital toolsRequired Experience & Skills
4+ years' experience supporting a senior executive in a fast-paced environmentExcellent organisational, planning, and project management skillsExceptional written and verbal communication skills; able to draft high-quality contentProactive and resourceful with the ability to work independentlyStrong IT skills including proficiency in Microsoft Office including powerpoint and CRM ie HubspotProfessional presence and confidence in client-facing situationsHigh attention to detail and commitment to accuracy, confidentiality and follow upKey Competencies
