We're looking for an Office Manager to join our team and help us create a smooth, efficient, and welcoming work environment as we continue to grow. This role is suited for a highly organized and proactive professional who excels in fast-paced, high-growth environments. You will drive structure, accuracy, and operational efficiency across Finance, HR and IT processes, and office management, ensuring seamless day-to-day operations while supporting the HR, Finance, and Office operations.Your work will have a direct impact on employee experience, team productivity, and the overall effectiveness of our office operations.What you will be doingFinance Coordination Support & Billing & Cost PreparationOrganize and validate documentation for month-end closingLiaise with external accountants and service providersPrepare monthly payroll inputs (leaves, variable elements, updates)Support personnel cost tracking and reportingMaintain structured documentation for finance reconciliationHR & Administrative OperationsMaintain employee documentation, contracts, and HR recordsManage onboarding and offboarding administrative processesEnsure compliance with local labour law and internal policiesMaintain HR systems and employee master dataPrepare documentation and official employee confirmationsCoordinate health insurance registrations and updatesSupport daily office management activitiesCoordinate suppliers, maintenance requests, and service providersAssist in invoice tracking and documentationSupport event logistics and internal initiatives when requiredEnsure smooth administrative workflows across teamsSet up/reset assign, and revoke laptops for new hires and exiting employeesWhat we are looking for3–5 years of experience in HR administration, finance support, or office managementStrong organizational and documentation skillsHigh attention to detail and process disciplineComfortable working with numbers and financial documentationExperience interacting with external providers (accountants, insurers, vendors)Ability to manage multiple priorities independentlyStructured and methodical approach to workProactive and solution-oriented mindsetComfortable working in a dynamic IT/engineering environmentHands‐on attitude with a strong sense of ownershipSelf‐starter with high initiative and driveProud of delivering high‐quality office management and operational supportThrives in fast‐growing and evolving environmentsWhat we offerExperience the best of both worlds with our flexible work arrangement (hybrid)25 days of annual vacation leave plus 10 days of fully paid sick leaveFringes benefits: meal allowance, work‐from‐home allowance, gym allowance, private health insurance plan for yourself and 2 childrenA dynamic work environment that highly fosters a sense of fun while maintaining a productive atmosphereA competitive salary.Our Hiring ProcessPresentation of the company ~ 30 minsInterview with managers ~ 1 hourMeet the team you will be working with ~ 1 hourAbout the company JobCloudis part ofTX-Groupand the leading digital company for the Swiss employment market, best known for the job portals jobs.ch and jobup.ch that connect thousands of candidates with the right job every day.
