As a key member of the operations team at a leading real estate agency in the Algarve, this role reports to the Sales Support Coordinator and the Investment Coordinator. Responsibilities include managing allocations and providing direct support to investment areas while also collaborating within a cross-functional team and working independently when required. Additional support may be required in other operational processes, including sales support activities, administrative and infrastructure tasks, IT, and Human Resources. The role involves performing administrative duties, managing communication, and ensuring organisational efficiency to support daily operations and maintain high standards of customer service.
Responsibilities:
Lead and Customer Service Management:
* Front-of-house management – meet and greet clients, phone management and overseeing the office, among other customer service tasks.
* Receive incoming leads, whether by telephone, walk-ins in the Quinta do Lago office, emails, or from any other QP marketing portals.
* Allocate the leads to the appropriate sales agent.
* Keep track of the agent's lead processing and re-allocate the lead if necessary.
* Maintain the leads in our database.
* Liaise with the Business Controller on lead statistics.
Investment Operational Support:
* Support the investment team by managing investment property listings, ensuring all relevant details are accurately recorded and updated in internal systems.
* Gather and verify necessary documentation related to property transactions, ensuring compliance with legal and company standards.
* Assist in the preparation, review, and organisation of contracts and agreements, maintaining accuracy and completeness.
* Provide support in the development of investment pitches, presentations, and technical documents, ensuring high-quality and structured materials.
* Work closely with internal departments, such as legal, sales, and marketing, to streamline processes and ensure smooth workflow.
* Perform various administrative tasks related to investment operations, supporting the team in achieving efficiency and organisation.
Qualifications:
* Detail-oriented with strong organizational skills.
* Prior experience in administration or real estate is a plus but not required.
