Job description
As part of our rapid growth in Lisbon (70 employees today with 40 new hires planned this year), we are creating the role of
Office & IT Support Manager
to structure, manage, and elevate our work environment.
You will join the
HR Team in Lisbon
and become a key player in the team's daily life, sitting at the heart of the employee experience.
Your Mission:
Transform our offices into an exceptional living space, take the employee experience to the highest level, and guarantee a fluid, structured, and impeccable environment.
You will work daily with:
* The HR Team in Lisbon
* IT Support based in Paris
* Local service providers (Landlords, IT, Cleaning, Security, Telecoms)
* All employees in the Lisbon office
Responsabilities
1. Manage and Optimize the Work Environment
* Facility Management:
You are the direct point of contact for landlords. You manage relationships, monitor technical issues, and lead layout projects.
* Logistics & Stock:
You manage furniture inventory (desks/chairs) and consumables for team comfort (coffee, fruit, office supplies).
* Vendor Management:
You manage contracts and interventions of local partners. You are particularly reactive regarding critical services (e.g., Vodafone for WiFi) to ensure zero downtime.
* Environment & Security:
You manage the cleaning company to ensure impeccable cleanliness and are responsible for site security from every angle (Verisure management, fire safety standards, first aid kits, and training).
* Admin & Invoices:
You track and validate invoices related to your vendors and office operations.
2. Provide Local IT Support (Level 1)
* Paris-Lisbon Collaboration:
Working closely with IT Support in Paris, you are the technical reference on-site.
* Level 1 Support:
You provide first-level support for the team (workstation configuration, troubleshooting display or peripheral issues). Your goal: ensure every employee is operational and efficient.
* Fleet Management:
You manage physical stock (MacBooks, screens, accessories) and handle the technical Onboarding/Offboarding of every employee.
3. Develop Employee Experience & Internal Culture
* Event Planner:
You manage your annual budget and create a roadmap of events (e.g., Afterworks, Gaming activities, Running clubs)
* Employer Branding:
You capture these moments (photos/videos) to support our social media presence and attract future talent.
* Employee Experience:
You drive continuous improvements to our premises, creating a smooth, stimulating daily experience and offices that are vibrant, inspiring, and energizing for everyone.
