Capgemini Engineering Portugal is strengthening its operational capabilities to support the growing complexity of Research & Development activities. As part of our Technology and Innovation (T&I), we are expanding our team with a detail‑oriented and proactive R&D Operations Specialist.
YOUR MISSION
You will play a key role in enabling the operational excellence of the T&I department, supporting the teams behind innovation delivery. This role combines structured thinking with hands‑on execution, focusing on improving how we manage, track, and report innovation work.
You will be expected to contribute to the design and continuous improvement of internal processes, ensuring they are efficient, scalable, and well‑documented. You will also help develop and maintain tools that support data validation, reporting, and decision‑making. This is a collaborative role, ideal for someone who enjoys optimizing operations and enabling teams to focus on technical delivery.
YOUR ROLE
* Designing, maintaining, and improving operational tools to support reporting, planning, and data validation;
* Ensuring monthly timesheet submissions are aligned with planned allocations (correct hours in correct projects);
* Participating in the Month‑End Closing process, applying critical thinking to analyze deviations from forecast (e.g., hours, costs, revenues);
* Managing the procurement process: requesting quotes, liaising with suppliers, tracking ETAs, and updating cost/revenue forecasts accordingly;
* Handling multiple administrative tasks including follow‑up of e‑mails and tasks, recording meeting minutes, conducting errands;
* Supporting administrative workflows, including follow‑up communications, digital documentation archiving, and access management for project files and tools;
* Conducting periodic and frequent checklists to update and validate various files and procedures;
* Providing operational support to other key departmental activities, including payment requests, marketing events, and audits.
YOUR PROFILE
* Advanced Microsoft Excel skills;
* Strong interest in automation and efficiency, with familiarity in tools such as Power Automate, Power Query, Power Apps and other solutions;
* Proficient in other Microsoft Office tools: MS Word, MS Teams, MS SharePoint, MS OneNote, etc.;
* Professional working proficiency in English, enabling effective communication with international teams and stakeholders;
* Familiarity with Capgemini’s policies, organization, unit, and people is a plus;
* Ability to cope with and handle pressure;
* Capability to work with tight deadlines;
* Keen attention to small details;
* Interest in accounting and quantitative analysis;
* Initiative‑taker and explorer of new solutions;
* Strong problem‑solving skills;
* Excellent networking abilities;
* Adherence to processes and checklists is essential.
