Office Manager Role in Almada, Portugal

Job Description:
As a key member of our administrative team, you will be responsible for overseeing the smooth day-to-day operations of our office in Almada. Your main duties will include managing office supplies, coordinating office events and meetings, ensuring a clean and organized workspace, monitoring expenses to ensure cost-effectiveness, overseeing administrative staff, maintaining accurate records of office inventory and equipment, developing efficient procedures for day-to-day operations, coordinating with other departments to ensure smooth communication and collaboration, assisting with HR tasks such as onboarding new employees and maintaining employee records, acting as the main point of contact for external vendors and service providers, and ensuring compliance with company policies and procedures.

Key Responsibilities:
* Manage all aspects of office operations including ordering supplies, coordinating meetings and events, and maintaining a clean and organized workspace.
* Monitor office budget and expenses to ensure cost-effectiveness.
* Oversee administrative staff and provide guidance on daily tasks.
* Maintain accurate records of office inventory and equipment.
* Develop and implement efficient procedures for day-to-day operations.
* Coordinate with other departments to ensure smooth communication and collaboration.
* Assist with HR tasks such as onboarding new employees and maintaining employee records.
* Act as the main point of contact for external vendors and service providers.
* Ensure compliance with company policies and procedures.

Requirements:
Proven experience as an Office Manager or similar role, proficiency in MS Office (Word, Excel, PowerPoint), excellent organizational skills with the ability to prioritize tasks effectively, strong communication skills both written and verbal, ability to work independently as well as part of a team, attention to detail with a focus on accuracy, knowledge of basic accounting principles is a plus, fluent in English (Portuguese is a plus), valid visa/work permit for Almada (visa sponsorship available).
