About the Role
At Friendly Group (Friendly Factories, Friendly Studio and Friendly Wear), we are looking for a highly organized and detail-oriented Administrative and Finance Manager to support our CEO with administrative and finance tasks related to invoicing, payments follow-up, coordination with the accountant, and general office management. The ideal candidate must have experience in the textile industry and know how to handle import/export documentation, invoice processing, and ensure compliance with regulatory requirements.
Key Responsibilities
Invoicing management and administration
* Process client and supplier invoices, ensuring accuracy and timely payments.
* Follow up on outstanding invoices and manage daily payment reconciliations to ensure revenue recognition.
* Ensure re-invoicing of transportation costs.
* Maintain organized records of client and supplier invoices and financial documents.
* Assist with VAT compliance in coordination with external accountants and follow up of VAT reimbursements with the accountants.
Customs administration and logistics
* Prepare and submit customs documentation for import/export processes.
* Ensure compliance with international trade regulations.
* Handle declarations for customs clearance.
* Communicate with customs authorities, freight forwarders, and suppliers.
General Administrative Support
* Assist with HR related administrative tasks, including sending payroll data to the accountants.
* Maintain digital document filing systems.
* Support internal teams with administrative tasks as needed.
* Communicate with clients and suppliers regarding documentation and payments.
Skills & Qualifications
* Education: Degree in Business Administration, International Trade or a related field.
* Experience: Previous experience in administrative roles, preferably in customs, finance, or logistics within manufacturing or sourcing environments.
* Languages: fluent in Portuguese and English
* Technical Skills: proficiency in Google Suite and familiarity with customs documentation systems and financial tools.
* Soft Skills: strong organizational skills, attention to detail, ability to work independently, good communication skills and ability to take ownership of tasks in a small, fast-moving structure
