WE ARE LOOKING FOR A PROJECT COORDINATOR

You need to uphold working permit in the location mentioned above.
You will refer to the Operational Director of Blades EU.
We expect for you a good command of English (written, spoken, and comprehension).
Job Function
The Project Coordinator plays an important role in departmental organization and administrative support.
Responsibilities include assisting Project Managers, coordinating training, travel, and accommodation, and managing documents in line with GDPR.
The role also involves liaising with external companies and clients to meet project needs, and supporting cost management by optimizing budgets, tracking expenses, and handling vendor contracts.
Success depends on collaboration, clear communication, and a focus on cost efficiency, operational effectiveness, and alignment with MWS values.
Your responsibilities
Support the Project Manager with daily tasks and responsibilities.
Coordinate and oversee training sessions, travel arrangements, and accommodation logistics.
Manage internal documentation, including contracts, certificates, work permissions, and sensitive data.
Ensure administrative processes comply with GDPR regulations.
Liaise with external companies and clients to facilitate project solutions.
Track project milestones and ensure all requirements are met within deadlines.
Provide regular updates to Project Managers.
Maintain effective communication with Project Managers, Site Managers, and Business Unit Managers to align expectations.
Assist in budget planning and optimization.
Monitor and track project expenses to ensure financial efficiency.
Provide cost-related reports to Project Managers.
Negotiate minor contracts with vendors to optimize spending.
Support cost-saving initiatives through strategic planning and budget management.
Manage procurement by placing purchase orders with suppliers and vendors for essential services, such as training, accommodation, and travel.
Monitor project performance and efficiency, delivering regular reports to Project Managers or Business Unit Managers.
Collaborate with administrative departments, including Bookkeepers, Account Assistants, Controllers, HR, and Payroll, to ensure smooth operations.

Clear written and verbal communication skills to support effective collaboration with team members and stakeholders.
Experience with administrative duties, contributing to well-maintained documentation and reporting.
Comfortable handling multiple tasks and addressing issues as they arise in a dynamic work environment.
Familiarity with health and safety guidelines to help maintain a safe and compliant workplace.
Good command of English (written, spoken, and comprehension) to engage with diverse teams.
