Job Description: Responsibilities - your mission


* Support the Managing Director in day-to-day activities, proactively anticipating needs and preparing decision-making materials, scenarios, and presentations as required.
o Coordinate and align the Managing Director's schedule and calendar in close collaboration with the office assistants to optimize time and strategic priorities.
o Manage the scheduling, preparation, and follow-up for key Leadership Team meetings and events, including weekly operational reviews, workshops, governance committees, team leaders meetings, townhalls, customer visits, and external engagements.
o Attend Leadership Team meetings, ensuring accurate documentation and timely execution of follow-up actions, decisions and risks.
o Facilitate the cascading of Leadership team decisions and requirements to AGBS managers, team leaders and staff, ensuring timely and accurate communication.
o Monitor the AGBS annual roadmap, tracking progress and ensuring alignment with strategic objectives (including AGBS TCO).
o Manage key stakeholder relationships by maintaining an updated stakeholder map and measuring satisfaction through targeted surveys and interviews.
o Oversee the AGBS Projects Portfolio, coordinating monthly updates to the Leadership Team, and supporting project leaders with relevant materials and guidance.
o Deliver strategic projects by acting as Project Leader and/or PMO, ensuring key milestones and deliverables are achieved while proactively identifying and resolving potential roadblocks.
o Identify and escalate operational risks or local issues as they arise, supporting the development and implementation of effective resolutions.
o Govern all documentation for the Leadership Team in G-drives, securing the correct access rights.
Requirements - our ideal candidate will have

* Highly organized self-driven personality, acting comfortable and accountable in a fast-paced environment.
o Strong customer-focused, team-oriented communication and facilitation skills with emphasis on building lasting, trusted partnerships through written and verbal communications with groups of senior internal and/or external.
o Ability to drive progress within a multifunctional and multicultural team.
o Ability to analyse complex data sets, identify trends, and derive actionable insights
o Ability to synthesize and convey sharp/clear/simple messages through slide decks.
o Ability to think problems through and develop credible plans to address the issue with the Leadership Team. Capture the solutions and follow up on implementation.
o Strong ability to “think outside the box”.
o Discretion and confidentiality as the position entails access to sensitive information such as strategic plans, financial data, etc.
o Exceptional attention to detail and a commitment to accuracy in all documentation, reporting, and administrative tasks
o Ability to prioritize critical issues and manage urgent and unplanned activities.
o Experienced user of Google Suite or comfortable with any Office suites.
o Experience in Project and/or Program Management (LBIP+, PMP are a +).
o Professional level in English (French/German may be a +).
o Ability for potential Business Trips (approx.1/month).
