We Are Hiring: Order Entry Specialist – Fluent in Dutch (C2/native)

We are looking for an Order Entry Specialist to join our international team and ensure a seamless ordering and delivery experience for our customers. This role is perfect for someone who enjoys fast-paced environments, solving operational challenges, and coordinating between customers and internal teams.
Key Responsibilities
Receive and process incoming orders via email, phone, fax, e-channels, or EDI platforms;
Encourage customers to use self-service digital channels;
Check and close transport documents not automatically processed in the system;
Inform customers and provide solutions in case of failed or aborted deliveries;
Organize urgent deliveries in critical situations;
Ensure accurate order entry in SAP, following internal procedures, including medical business requirements;
Support scheduling, delivery, and stock adjustments requested by Supply Chain;
Notify customers of product or quantity changes and any anticipated delays;
Receive and resolve shipment-related complaints;
Manage urgent customer requests in coordination with Planning, Plants, and Transport teams;
Resolve product shortages by analyzing requests, contacting Sales and Planning, and prioritizing deliveries;
Verify incorrect customer requests and invoice when necessary;
Gather all relevant specifications to ensure flawless shipment creation in SAP;
Support Quality Regulatory Affairs (QRA) when required;
Ensure rejected deliveries are fully processed;
Collaborate with other Customer Service teams as needed;
Comply with internal Quality, Food Safety, Health & Safety, and Environmental policies;
Understand and operate within medical and food industry management systems.

CTC (release exceed credit limits orders, unblock customers)
Sales (shortage periods for decision Matrix)
Planning (ensure all orders are taken into consideration for shipment, urgent orders)
Transport (shipment not done, urgent orders)
QRA (quality for defective cylinders or re-call procedures)
Plants (stock issues, urgent orders)

Qualifications & Experience
Minimum: High School diploma;
At least 1 year of Customer Service experience (order handling, complaints);
Basic knowledge of SAP/ERP and Salesforce (preferred);
Language Requirements:
Dutch (C2/native) – mandatory for this market: must communicate flawlessly with customers, handle emails and calls professionally, and process documents in Dutch;
English B1 or higher – preferred.
What We Offer
Base salary: 950€
Meal allowance: 11€/day (card)
Language allowance: 450€
