OVERVIEW
Assist with administrative duties and support other Project Assistants; oversee tasks delegated by Project Coordinators/Project Managers. Individuals in this role are either more inclined to stick to a Project Assistant-oriented career path (working to become a Senior Project Assistant, for instance) or work towards alternative career paths.
DESCRIPTION
* Collecting relevant data and organizing folders, files and documents for specific departments
* Scanning hard copies on to the network
* Monitoring distribution lists and addressing any project discrepancies
* Managing jobs and direct-intake responsibilities
* Dealing with different company platforms, organizing urgent emails and escalating issues
* Generating and accessing reports using different dashboards and platforms
* Filling out daily trackers required by teams/departments
* Assisting production teams in project billing, sending files to formatters, logging ticket entries and generating Purchase Orders
* Preparing files for quotes
* Preparing certificates for teams/departments
* Organizing team events and/or different team/department activities
* Performing other special projects or duties when required
* Completing all other tasks that are deemed appropriate for this role and assigned by the manager/supervisor
REQUIRED SKILLS, EXPERIENCE AND QUALIFICATIONS
* Excellent verbal and written communication skills in English
* Outstanding organizational skills
* Great attention to detail
* Ability to effectively multitask in order to simultaneously execute multiple responsibilities
* Ability to maintain professionalism in all situations, especially under tight deadlines
* Ability to effectively solve problems
* Good computer skills, including Microsoft Office
DESIRED SKILLS AND EXPERIENCE
* Fluency in a foreign language
