This role involves providing day-to-day operational and administrative support to Supply Chain Study Leads (SCSLs) or Clinical Trial Supply Manager (CTSMs). Responsibilities include supporting SCSLs/CTSMs with upstream packaging/labelling activities, downstream logistics tasks, and end-to-end tracking & oversight.
1. Support SCSLs/CTSMs with tasks such as revising label development contracts, raising study data & label requests, creating packaging & specification orders, and tracking urgent packaging orders
2. Assist other CI staff, including SCPs & SCMs, with inter-site transfers and material movements, destruction requests, and general administrative tasks
3. Support the Clinical Trial Supply Manager/Clinical Supply Chain Lead to ensure proper study conduct and follow-up (audit, inspection, process improvement, etc.)
4. Encode and maintain protocol logistical requirements in the logistic demand system (ESR) based on the output of the logistical and randomization kick-off meeting
5. Manage task and purchase orders linked to logistical activities (depot & distribution activities), provide support to the Clinical Trial Supply Manager/Clinical Supply Chain Lead on managing logistical study budgets
6. Retrieve, analyze data for stock management and propose resupply strategies
7. Perform overall reconciliation of vaccines at study end and ensure proper documentation is available
8. Ensure relevant documentation is archived and posted in the electronic trial master file (eTMF) according to the Reference Model
9. Act as Subject Matter Expert for one or several processes of the team, ensuring standard processes and ways of working are in place across all projects and studies for key CTSAs activities
10. Develop and maintain appropriate documentation (SOPs, WIKI, guidance, training materials) related to logistic processes
