Site Office Administrator Job
This is a fantastic opportunity for an experienced administrator to join our team as a Site Office Administrator.
The successful candidate will be responsible for supporting the daily operations of the site office, ensuring smooth communication, documentation, and coordination between site teams, subcontractors, and head office. This role is essential to the effective running of the project, providing critical administrative and logistical support to project management and site teams.
Key Responsibilities:
* Manage and organise all site documentation, including permits, drawings, delivery dockets, timesheets, and correspondence.
* Support the site management team with meeting coordination, note-taking, and follow-up actions.
* Liaise with subcontractors and suppliers to ensure documentation is received, filed, and distributed accordingly.
* Monitor and control site office supplies, stationery, and equipment, raising purchase orders when necessary.
* Maintain accurate records of staff attendance, timesheets, and onboarding documentation.
* Assist with HR-related admin tasks such as onboarding new site personnel and maintaining training records.
* Support the logistics team with accommodation bookings, travel arrangements, and access control (badges, gate lists, etc.).
* Ensure digital and hard copy filing systems are up to date and accessible.
* Act as the point of contact for site visitors and deliveries, ensuring proper logging and communication.
Requirements:
Essential:
* Prior experience in a similar site admin or office support role, preferably in construction or engineering.
* Strong organisational skills with the ability to multitask in a fast-paced environment.
* Proficient in Microsoft Office (Excel, Word, Outlook).
* Fluent Portuguese and good English communication skills (written and spoken).
* Strong interpersonal skills and a proactive, can-do attitude.
Desirable:
* Experience working on large-scale projects or for a Main Contractor.
* Familiarity with document control systems (e.g., Aconex, Procore, Viewpoint) is a plus.
* Basic knowledge of construction processes or terminology.
