Executive Support Specialist
The cornerstone of executive effectiveness is a well-organized schedule.
* Calendar Management: Proactively create, update, and maintain senior managers' calendars, ensuring accurate time conversions and adherence to site-specific working hours.
* Prioritization & Judgment: Apply priority rules and sound judgment to schedule, propose alternative times, and push back on lower-priority requests when appropriate.
* Meeting Logistics: Coordinate complete meeting logistics, including room bookings, virtual/Teams links, and visitor access.
* Travel & Expenses: Research, arrange, and book travel and complete expense submissions when requested.
* Proactive Resolution: Monitor and resolve calendar conflicts, overlaps, or last-minute changes proactively.
To succeed in this role, you should possess:
* Experience: A minimum of 5+ years in an administrative, scheduling, or coordinator position, supporting multiple senior leaders/executives.
* Language Proficiency: C1 level English with business-ready tone and formatting.
* Technical Proficiency: Strong proficiency with Outlook/Teams/Concur and the ability to quickly learn client systems.
* Behavioral Skills: Excellent attention to detail, follow-through, and proven success working with competing, time-sensitive requests.
