The Executive Assistant plays a crucial role in supporting senior leaders with daily scheduling, meeting, travel, and expense coordination in a fast-paced environment.
Key Responsibilities:
* Calendar Management: Maintain calendars for senior managers, ensuring correct time conversions, public holidays, and site-specific working hours.
* Prioritization & Judgement: Apply priority rules and sound judgement to schedule meetings, propose alternative times, and push back on lower-priority requests when necessary.
* Meeting Logistics: Coordinate meeting logistics, including room bookings, virtual links, and visitor access.
* Travel & Expenses: Research, arrange, and book travel and complete expense submissions as requested.
* Proactive Resolution: Monitor and resolve calendar conflicts, overlaps, or last-minute changes proactively.
Requirements:
* Experience: A minimum of 5+ years in an administrative, scheduling, or coordinator role, supporting multiple senior executives.
* Language Proficiency: C1 level English with business-ready tone and formatting.
* Technical Proficiency: Strong proficiency with Outlook/Teams/Concur and ability to quickly learn client systems.
* Behavioral Skills: Excellent attention to detail, follow-through, and proven success working with competing requests.
